Numbering a document that is about to be read by someone else
Page numbers stop mattering when you are the only reader and start mattering the
moment a document is discussed. A contract nobody can cite, a report where
"see the section on costs" means hunting, a submission bundle that arrives
unnumbered — all of it is friction that a footer removes. Anything printed,
filed, or reviewed by more than one person needs numbers.
Position is a real decision
Choose top or bottom, and left, centre or right. Two considerations should drive
it:
- Binding and stapling. Numbers in the outer corner survive being bound at
the spine. A number in the inner margin of a stapled bundle disappears.
- What is already there. If the document has a footer, put numbers at the
top. Dropping them onto existing content makes both unreadable, and the
preview will show you that before you commit.
Bottom-centre is the safe default for a document with no existing footer, and
the convention most readers expect.
Your content is not modified
The numbers are drawn as a new text layer over the existing pages. Nothing in
the original is altered, moved or re-rendered — text stays selectable, images
keep their resolution, and the file is your document plus a number on each page.
If numbers land somewhere you did not intend, there is no undo inside the file:
go back to your original and run it again with a different position. Keep the
unnumbered copy until you are happy with the result.
Order first, numbers second
Number the document once its pages are final. If you renumber and then reorder,
the printed numbers no longer match the sequence, which is worse than having
none. Sort the pages with Organize PDF first, then number.
